  • Support the Sales team administratively including replying to daily correspondence, preparing reports and data entry in hotel’s systems.
  • Coordinate sales team by managing schedules, filing important documents and communicating relevant information
  • Track, reply and manage all sales leads, initiate contract and billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame
  • Keeping proper follow up of appointments, payments & group changes.
  • Prepare detailed and quality Group and FAM Resumes and internally distribute to all necessary departments to proactively and appropriately convey pertinent group information to the team.
  • Assist the Sales team with the preparation of contracts, proposals, and RFP’s.
  • Provide telephone and message support for the department and respond to inquiries in a timely, clear, and pleasant manner.
  • Coordinate with other departments through verbal and written instructions.
  • Block group & meeting space specifications and ensure that accurate information is collected and communicated in proper manner.
  • Communicate with all hotel departments as appropriate. Ensure prompt attention to time sensitive requests by hotel colleagues.
  • Complete additional projects as assigned.
  • Assist the Sales Executive, Sales Manager and Sales Director with travel agent and corporate reservations/ visits.
  • Follow up with accounts management actions according to the Sales Director’s and Sales Manager’s instructions.
  • Ensure the adequacy of sales-related equipment or material and assist in the preparation of promotional materials or events.
  • Maintain a healthy relationship and promote the facilities of the Hotel to new and existing customers through a proactive approach.
  • Setting up all site visits, co-ordinate and conduct site inspections, agents’ visits and support with FAM trips in all hotels between Santorini and Paros.
  • Provide assistance and coverage in Sales Team, as needed.

Desired Skills:

  • Degree in Hospitality, Business Administration, or relevant field
  • Excellent English & Greek language with the ability to write and speak effectively
  • Strong verbal communication and presentation skills
  • Advanced technical skills, including superior Microsoft Office, Excel, and Power point.
  • Ability to travel between Paros and Santorini.
  • A team player with high level of dedication.
