Scope of the position

Due to the continuous growth of our company and our great plans for moving forward, we are looking to recruit an Administrative Assistant with time-management and multitasking abilities to join our international team. The successful candidate will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently in a well-organized and timely manner.

Main Responsibilities

  • Manage diaries and organize meetings and appointments
  • Follow up on manager/executive of important tasks and deadlines
  • Perform various secretarial duties for Top Management
  • Produce reports, presentations and briefs to Top Management
  • Ensure all assigned administrative duties are carried on a timely and efficient way
  • Manage phone calls and correspondence (e-mail, letters, packages, couriers, etc.)
  • Implement and maintain procedures/administrative systems
  • Welcome new employees and visitors of the company
  • Monitor the main gate of the HQ building
  • Maintain office supplies inventory
  • Manage and coordinate the building maintenance
  • Organize travel and accommodation arrangements for business travels
  • Collaborate with Public Authorities for several company’s needs
  • Support the Legal/HR/Finance Departments with secretarial or other tasks
  • Build alliances and partnerships with other organizations according to the company’s needs
  • Car Fleet management
  • Perform various tasks externally (visits to public authorities or making purchases)
  • Facilitate Company’s participation in public auction
  • Any miscellaneous tasks to support Top Management, which will vary according to the assigned project

Requirements – What you will bring to the team

  • Minimum 3 years of proven working experience in similar position
  • Experience in Legal/ HR / Real Estate/ Finance industry will be considered as plus
  • Advanced knowledge of English (written-oral); a second language will be considered as plus
  • Outstanding Computer Skills and MS Office
  • High organizational skills and ability to manage a number of projects at the same time
  • Attention to detail and problem solving skills
  • Ability to prioritize the workload and work under pressure to reach the group’s goals
  • Excellent communication and presentation skills
  • CRM knowledge will be considered as plus
